Job Description * Answer telephone, screen and direct calls * Take and relay messages * Greet and handle other persons at front office * Handle with queries from the public and clients * Documentation - managing the scanned documents, ensuring the filing is done as per the internal documentation policy, retrieving files, issuing to staff , filing back, making sure the files are organized * Ensure knowledge of staff movements in and out of office * General administrative and clerical support * Prepare letters and documents * Receive and sort mail and deliveries * Schedule appointments * Maintain appointment diary either manually or electronically * Organize meetings * Supervise and oversee house-keeping and office maintenance * Handle courier packages & vendors – both outgoing & incoming * Manage office supplies & equipment allocation * Assist in work schedule maintenance of staff * Coordinate between various internal staff for queries & requests * Liaise with external vendors such as internet service providers, printers, housekeeping agency, etc * General office administration & management * Secretarial assistance to directors * Other front office and general administration related aspects as required * Assist HR for interview schedules.
